Pay now, by card, on your own account

Connect the Stripe, PayPal, Square or Authorize.net account you already use. Your customer presses Pay now on the invoice, the PDF or their page, pays on that company's secure page, and the invoice marks itself paid. A deposit shows as the amount due now, with the balance under it.

Design it your way, and watch it change

Pick a layout from real thumbnails and the invoice beside you updates as you click. Tell it your kind of business and it suggests the layout, the columns and fields like Job site address or Event date. Rename any heading, hide a section, reorder the columns, and save the look as a design to reuse.

Yes. aiKit Invoices & Expenses gives every customer one private portal link with all their invoices, a printable statement and a receipt for each payment, with no account to create. Time and mileage come from a timer or quick entries and turn into invoice lines in one press, billed in 6-minute steps at your rates, and each entry shows which invoice it's on so nothing is billed twice. Can my customers pay an invoice by credit card?
Yes, through your own account. In aiKit Invoices & Expenses, Settings → Card payments connects the Stripe, PayPal, Square or Authorize.net account your business already uses. Your customer presses Pay now on the invoice, the PDF or their invoice page and pays on that company's secure checkout page, so aiKit never sees or stores a card number, and the money goes straight to your account. When the payment goes through, the processor tells aiKit and the invoice is marked paid by itself. You can also add any other payment link, shown as Other ways to pay. A connector that isn't switched on for your aiKit server yet says Coming soon.
Can one invoice line have more than one sales tax?
Yes. In aiKit Invoices & Expenses you add every rate you charge in Settings, such as a state rate and a city rate, and tick which ones apply on each line. Shipping can be taxed or not. Tax is worked out on each rate's total once, not line by line, so a long invoice has no rounding drift, and an invoice discount is spread over the lines before tax so you never charge tax on money taken off. aiKit doesn't look rates up for you; you enter the rates you use.
How do I turn an accepted quote into an invoice?
Open Invoices & Expenses and choose From a quote in the list. Every Quote Studio quote your customer accepted is listed with its total; press Make invoice and the invoice opens with the customer, the option and extras they picked, the discount, tax and deposit. It always totals exactly what they accepted: if rounding would leave even a cent of difference, a visible adjustment line closes it. A quote that already has an invoice opens that invoice instead of making a second one.
Is there free invoicing software that reads receipts from a photo?
Yes. aiKit Invoices & Expenses comes with a free aiKit account. Invoices, the customer's page, PDFs, payments, statements and reports use no AI. Reading a receipt photo uses about 1 token of your account's monthly AI allowance, shown on the button before it runs; it fills in the store, date, total, tax and a category, and highlights any field it wasn't sure of. You can also type an expense in by hand.
How do I send an invoice with aiKit?
Open Invoices & Expenses at aikit.ai/tools/invoices and press New invoice. Pick a saved customer or type their name, company, email and address; choose the date and payment terms (due on receipt, Net 7 to Net 90, or a date you pick); and add lines with a quantity and price, or pick saved items. The preview on the right is exactly what your customer will see. Press Send to make the customer's live page, then Copy link to paste it into your own email or text, or Email it to open a ready message in your mail app. The customer opens the link on any phone, sees what's due, downloads the PDF, and pays through your own payment link if you added one.
Can my invoices show my logo, colors and layout?
Yes. In Invoices & Expenses, Settings → Your business & look is one place for everything customers see: your business name, address, phone, reply email, tax ID, logo, website and social pages (Facebook, Instagram, LinkedIn, X, TikTok, YouTube), payment terms, thank-you note, terms and footer, with the invoice changing beside you as you type. Pick one of seven layouts (Classic, Modern with a deep color header, Minimal, Product & promo, Elegant with a centered logo and serif type, Bold or Banded), your colors (Brand Kit colors first), font and logo size. Saving updates every draft; a sent invoice keeps what the customer received until you press Use my latest business details on it. Each invoice line can carry a product photo from Quote Studio, the Graphics Library or an upload, shown on the invoice, the PDF and the customer's page.
Can customers pay my invoices by credit card?
Yes, through the account you already use. Settings → Card payments connects Stripe (sign in with Stripe, or paste your own key), PayPal, Square or Authorize.net. Customers press Pay now on the invoice, the PDF or their page and pay on that company's secure checkout page; aiKit never sees or stores a card number and the money goes straight to you. When the payment completes, the processor tells aiKit and the invoice is marked paid by itself, with the processor's payment id in the payment list. A connector that isn't switched on for your aiKit server yet says Coming soon.
Can I add a ship-to address and tracking numbers to an invoice?
Yes. In Invoices & Expenses an invoice can have a ship-to apart from bill-to and several shipments, each with its own address, the lines and quantities in it, and a tracking number; UPS, FedEx, USPS and DHL are recognized from the number and get a Track link that opens the carrier's own page. The customer's invoice page shows Your order with the estimated ship date and each shipment as Preparing, Shipped or Delivered. Packing slips print with no prices, and with the Promo / reseller tools on, a shipment can be a blind drop-ship that names the brand it ships on behalf of.
Does aiKit have invoicing for promotional products distributors?
Yes, as an optional set you switch on in Settings: decoration details per line (imprint method, location, colors, size) with an art proof link, setup, run, PMS and freight charges, the customer's PO number and in-hands date, your ASI, SAGE and PPAI numbers on the invoice, your cost and margin per line (never shown to the customer), blind drop-ship packing slips and a one-click purchase order to each supplier at your cost. The Product & promo layout puts large product photos and the ship-to first.
Can I design my own invoice layout?
Yes. Settings → Invoice design starts from one of seven layouts (Classic, Modern, Minimal, Product & promo, Elegant, Bold, Banded), then lets you show, hide, rename and reorder sections and table columns, rename words like Invoice or Balance due, add your own fields, pick colors, fonts and logo size and place, and set header and footer lines, with a live preview. Save several designs and pick one per invoice. The layout that suits your type of business is marked Recommended.
How do partial payments, deposits and credit notes work?
In Invoices & Expenses, an invoice can ask for a deposit (a percent or an amount): the customer's page shows the deposit due now, then the balance once the deposit is paid. Under Payments you record what you received, in full or in part, with the date, how it was paid and a note; the balance and the customer's page update at once, and Paid in full shows when nothing is left. A credit note (More → Make a credit note) records money you owe a customer; once issued, Use credit applies it to another invoice for the same customer and currency. aiKit never takes the payment itself.
Does Invoices & Expenses send payment reminders and add late fees?
It follows a schedule you set in Settings → Reminders & late fees: a few days before the due date, on the due date, and days after (3 days before, on the day, 7 and 14 days late by default). Until you approve the schedule, each reminder waits under Reports for your OK. Press Approve this schedule once and reminders arrive already approved; where email from aiKit is switched on they're emailed to your customer, otherwise you copy one or open it in your own email. Pause puts you back to approving each one. If you set a late fee rule, a late reminder offers to add the fee; nothing is added without your press.
Can I connect Invoices & Expenses to QuickBooks?
Yes, once QuickBooks is switched on for your aiKit server. Connect QuickBooks in Settings → QuickBooks & more sends your customers, items, sent invoices, credit notes and recorded payments to QuickBooks Online, and brings payments recorded in QuickBooks back to the invoice here. A customer or item changed in both places since the last sync is never overwritten: it waits under Changed on both sides for you to pick Keep aiKit's or Keep QuickBooks'. Every step is in the sync log, and sample invoices are never sent. Until the connection is switched on, the button says Coming soon.
Can I make an invoice on my phone by talking?
Yes. In Invoices & Expenses press Quick invoice (the round button on a phone). Tap the customer (your recent ones are listed, or type a new name), then press the microphone and say the work the way you'd say it, like "two hours design at 85, delivery 25". The lines and the total appear as you speak; a line with no price is marked so you can say its price. Press Send and the invoice is live, or Save draft to finish it later. Saved products and services fill in their own prices. Reading the words happens on your phone with no AI; Read it with AI is there for messier wording and uses about 1 token.
