Quotes opens on one screen. On the left: which of your companies the quote is from, the customer (optional), a big box for the scope of work and specs, and an optional box for your prices. Press Make the quote and the right side shows the finished one-page quote, laid out exactly like the PDF your customer gets. Click any part of it to change it, then Download PDF, Copy link or Send. Prices come only from what you gave: your prices box, your saved prices and products, and your past quotes. Anything without a price is marked Price needed for you to fill in; the AI never guesses a price and never adds extras you didn't ask for. Open it at aikit.ai/tools/quotes.
Open Quotes →Quote from, at the top of the form, picks the company the quote comes from. One account can hold several companies (up to 20), and each has its own logo, name, address, phone, email, website, terms, payment line and quote numbers. The last company you used is picked for you next time. + Add a company… in the same menu adds one: type its name (and what it does, if you like), press Add the company, then fill in the rest.
Edit company opens that company's details. Upload logo takes a PNG, JPG or WebP picture; From Graphics Library picks one you already saved there; Remove takes it off. Your name on quotes, Email, Phone, Address and Website print in the side panel of every quote. Quote numbers start with and Next quote number set the numbering (for example BP-2401, then BP-2402); every company counts on its own. Quotes are good for (days) and Usual turnaround fill new quotes. Shipping line on new quotes is Decide from the scope (the AI shows Free shipping when goods are shipped and leaves it off for services), Always show Free shipping, or Never (services, pickup). Page style is a dark or light side panel, and Price color colors the prices and totals. Your terms print at the bottom of every quote from that company (leave it empty for the automatic line), and How to pay prints in the How to pay box. Save company saves it; open quotes from that company show the change right away.
Switching the company on a quote you already made moves the quote: after you confirm, a copy is made under the other company with that company's logo, terms and next number, and the old draft is removed.
Products, price lists, volume prices and standing rules for a company are under Prices & rules (the link in Edit company, and the button on Your quotes). See the spec-sheet quotes guide for how to teach them.
Customer is folded away and optional: open it to type the name, company, email, phone and address. Anything you leave empty is filled from the scope when the scope names it; the company stays empty unless someone names it.
Scope of work & specs is the main box. Paste the customer's email or request for quote, type it, or press the microphone in its corner and say it. Add a file reads a PDF, a picture (a photo of a sketch or a handwritten list), a Word file (.docx), a text file or a saved email (.eml), up to 3 MB; its name shows under the box with an × to take it off. You can use the box, the file, or both.
Your prices / notes is optional: write prices the way you say them ("cards $48 per 250, menus $1.35 each, design $85/hr") and anything else for this quote ("10% off this one", "tax 6.5%"). A price for a pack, like $48 per 250, is quoted as sets (2 × $48 for 500 cards) with the real count shown in the details.
Make the quote reads everything and drafts one line per thing the scope asks for, each with its details (size, material, colors, quantity, location) printed in the specification, plus a project name and a short note to the customer that is also the email text. Prices come from your prices box, your company's products, the products and services you saved, and lines from that company's past quotes. A price that isn't written anywhere stays empty and the line shows Price needed. It never adds add-ons, warranties, maintenance, training or anything else the scope didn't ask for. In a few seconds the quote opens on the right and gets its number. Check these, under the form, lists any question and every assumption it made.
Redo the quote from the scope (after the quote is made) reads the scope and your prices again and replaces the lines and the note; the quote number, the customer and More options stay. + New quote at the top starts over.
The quote on the right is the real page, at true Letter size scaled to fit. Click a line (or its details in the specification) to open Change this line: Description, Quantity, Price each, the details printed under the line (+ Add a detail, × removes one), Mark as recommended on a pick-one quote, and Remove line. A price you type replaces Price needed at once. For one of your company's products it shows your website price at that quantity and how far under it you are. Click the note to edit it (with a microphone). Click the customer block to open the customer boxes, and click the shipping band, a discount, tax or deposit row, or the terms to open More options.
Lines, above the quote, lists every line with its quantity, price and amount (Price needed in yellow when there is none). Click one to change it; + Add a line adds a new line marked Price needed and opens it.
Changes save on their own a moment after you stop; the bar shows the total and Saved, Saving soon… or Saving…
More options is folded away under the form so the first screen stays short. Show FREE SHIPPING on the quote puts the green free-shipping band under the prices (on by default for companies that ship goods). Discount takes a number and % off or $ off and prints a discount row under the subtotal. Sales tax % adds a tax row on the amount after the discount. Deposit to start % prints the deposit amount under the total. Good for (days) sets Valid through (the date shows under it). Turnaround is printed as the lead time. Show the lines as options the customer picks from turns the quote into Option 1, 2, 3 (Good / Better / Best) with a price for each and no grand total; it is off unless you turn it on. Terms for this quote replaces the terms line on this quote only.
Before the quote is made, what you set here is used when you press Make the quote and wins over anything the AI read.
Download PDF saves the one-page quote, named with the number, the customer and what is quoted. Copy link makes the customer's live link (the page they can accept online) and copies it. Send… opens Send & track: email it from aiKit (only when you press Send), set a follow-up, file it under a client, and see when they opened, asked or accepted. Copy email text copies a subject line and the note, signed, ready to paste into your own email.
A quote with a line still marked Price needed can't be downloaded, linked or sent: the yellow bar says how many lines need a price, and clicking Price needed on the quote opens that line.
Only you see this, under the quote, holds private notes (a missing price, a price under your cost multiple), the profit table when your costs are on file, every automatic change with Undo, and Open the full editor for product, model, lens, sold-together and schedule settings. None of it ever prints. Your quotes (top right) lists every quote with filters; older quotes from the earlier Quote Studio screen are under Older quotes there.
