Notifications: the bell, emails, and daily summaries

aiKit tells you the moment something lands: a customer sends a form from one of your sites, a client finishes your questions, or a problem you reported gets an update or a reply. Everything arrives on the bell at the top of every signed-in page, and each one opens the exact record. You choose, per kind of update, whether it also comes by email right away, as one daily summary, in aiKit only, or not at all. This guide walks through the bell, the Notifications page, your choices in Settings, the single-request page, and client-question reminders.

The bell

  • The bell sits at the top right of every signed-in page. A number on it counts what you haven't read; it turns coral when one of them is urgent. It refreshes every minute while the page is open, and whenever you come back to the tab.
  • Click it to open the panel. All shows everything newest first; Unread shows only what you haven't read. Mark all read clears the count.
  • Each line shows an icon for the kind of update, an Urgent tag when it needs you fast, what it is (Website form, Client answers, Your report), how long ago, a title such as Quote request from Jordan Lee, and a line of detail. Click the line to open the exact record; that also marks it read.
  • The round dot at the end of each line marks it read or unread without opening it. Filled means unread.
  • At the bottom: See all opens the Notifications page; N need you on Home opens Home filtered to what needs you; Settings opens your notification choices.
  • Urgent means: a booking within the next day and a half, a form that says urgent, emergency, today, ASAP, or same day, a free-report lead who asked for a call, or a high-severity problem report (admins).

The Notifications page

  • Everything you've received, grouped by day (Today, Yesterday, then dates). Only your own notifications ever show here.
  • The chips across the top filter it: All, Unread (with its count), and one chip per kind of update. Your choice stays in the page address, so you can bookmark or share a filtered view with yourself.
  • Search finds words in titles and details, like a customer's name or a project name. A blue Showing bar says what you're looking at, and Show all clears it.
  • Choose what you get opens your Settings. Mark all read clears the bell. Show older loads the next 50.

Choosing how each update reaches you (Settings → Notifications)

  • Each kind of update has four choices. Right away: the bell plus an email the moment it happens. Daily summary: the bell now, and one email a day (from 9 a.m. Eastern) listing everything since the last one. In aiKit only: the bell, no email. Off: nothing at all.
  • Website forms: a customer sends a quote request, quote builder, booking, contact message, lead, or file from one of your sites. Defaults to Right away for owners and staff. Reviewers don't get these unless they choose to here.
  • Client answers: a client finishes a round of the questions you sent them (single saved answers stay quiet until they finish). Same defaults as website forms.
  • Your problem reports: a problem you reported changes status (Received, We're looking into it, A fix is being made, Fixed, and so on) or someone at aiKit writes you a reply.
  • aiKit admins also see Free report leads and New problem reports.
  • Choices save the moment you tap them; a green Saved appears next to the row.
  • If email isn't switched on for aiKit yet, a yellow note says so: every update still arrives on the bell, and your email choices take effect the day email is on.
  • Check it works test sends never notify anyone, whatever you choose.

What a website-form email looks like

  • The subject names the kind and the person, such as New quote request from Jordan Lee · Harbor Lawn Care, with Urgent: in front when it is.
  • Inside: who sent it, their email and phone, the key details (service, how soon, booking time in the business's time zone, the quote builder's product, quantity, options, and estimate, the address, how many files or photos), and their message.
  • One button opens the request in aiKit. Under it, one-tap Email and Call buttons work on a phone. Replying to the email itself answers the customer directly.

The single-request page

  • Every notification and email about a form opens that one request at its own address (aikit.ai/home/requests/…), so the link keeps working and can be shared with your team.
  • What they sent: the message and every detail, plus any files (owners and staff can open them) and photos.
  • Reply: Email and Call buttons, plus their contact details.
  • Where it stands: New, Contacted, Won, or Closed, and a private note only your team sees. Changes here are the same ones the project's Requests tab shows. Reviewers can read but not change them.
  • All requests for this project, at the top, opens the project's Requests tab.

Client questions: due date and reminders

  • On a project's Questions page, the Due date and reminders card sits above the questions.
  • The switch turns automatic reminders on or off. Answers due sets a date. Client's email fills in from the client record when there is one. Remind every (1 to 7 days) and At most (1 to 6 reminders) set the pace. Press Save.
  • The first reminder goes out 2 days after you send the questions, then on your schedule, and always one the day before the due date. Each reminder lists the exact questions still open, and replies go to the project owner.
  • Reminders stop by themselves once every question is answered, and the card says so.
  • Reminders are email only. Until email is switched on for aiKit, the card says Reminders start once email is set up, and your schedule is saved and ready.
  • When the client finishes a round, the project's owner and staff get a Client answers notification that opens the Questions page.

For aiKit admins: Report leads

  • Report leads, in the sidebar under Problem reports, lists everyone who ran a Free AI Report and left their email, newest first. The number beside it counts leads still marked New.
  • The tiles across the top are filters: Want a call, not contacted (in red, the ones to call first), New, Contacted, Won, Not a fit, and All leads. Click one to show exactly those; click again or Show all to clear it.
  • Search finds names, emails, phones, industries, and notes. Every filter stays in the page address.
  • Each row shows the name (click it to open the details), the industry and when they ran it, a red Wants a call tag, one-tap email and phone buttons, and a status menu that saves the moment you change it.
  • Opened, a row shows what they want to build, fix, or improve, their website, whether they have an aiKit account, Read their report (opens their full report), and a notes box only admins see.
  • Export CSV downloads the leads in view, with the same filters, ready for a spreadsheet.
  • Each new lead also reaches every admin on the bell, marked Urgent when they asked for a call, and by email according to each admin's choice.
